Updated: 6 September 2026

This notice explains why Qotup may use publicly available business contact details for carefully targeted outreach, how we limit that use, and how you can object.

Data, sources and purposes

We may process a business name, trade, location, published business contact details, a business contact’s identity or role, the sources checked, and the contact history strictly needed to run the outreach safely.

The information may come from business websites, public registers, professional directories, local or trade bodies, and other relevant public pages. We use it to check that a Qotup proposal is relevant to the recipient’s work, personalise a limited number of messages, and prevent duplicates or prohibited contacts.

Basis and contact limits

We do not apply one permission rule to every country. Depending on the recipient, processing relies on our legitimate interest in presenting a relevant B2B service, valid consent, or another specifically documented basis. A public email address is not enough where consent is required.

Each campaign must respect local rules, any published objection, and the recipient’s business role. We do not sell these details, use open-tracking pixels, or track individual link clicks in outreach emails.

For the United Kingdom, unsolicited email is limited to verified corporate subscribers where PECR permits it; personal contact data still receives UK GDPR transparency and objection protections.

Recipients and tools

Access is limited to people operating Qotup and providers needed for email, CRM, hosting, research, and assisted verification. Depending on the check performed, these tools may include Zoho Mail, Google Workspace, Origami, and OpenAI Codex.

Some providers may process data outside your country. We limit shared information to the operational need and rely on the safeguards offered by the applicable providers. You can ask the contact above for further details.

Retention

Non-customer prospect data is kept for no more than three years from collection or the last contact initiated by the prospect, unless a different period is required by law or needed to resolve an active request. Merely opening an email does not extend this period.

After an objection, we keep only the minimum information needed to prevent further contact, for at least three years and longer where necessary to honour the request. That record is not used for new marketing.

Your rights and choice

You may request access, correction, deletion, or restriction of your data and object to direct marketing at any time. Where processing relies on consent, you may withdraw that consent at any time.

Simply reply to the email you received or write to support@qotup.com. Opting out is free and stops future commercial messages. You may also complain to the data protection or consumer authority responsible in your country.
